How does Veremark’s automated reference check work?

We send a secure, structured questionnaire to each referee by email. Referees complete it online — no calls, no chasing from your team. Responses are consolidated into a formatted report in your Veremark dashboard. The candidate nominates referees and we handle everything after that. Average referee completion time: under 10 minutes.


How long does a reference check take?

Turnaround depends on how quickly referees respond. Veremark sends automated reminders on your behalf and makes up to 5 contact attempts. If a referee remains unresponsive, we notify you — you can either request an alternative referee or proceed with the responses already received.


What questions does Veremark ask referees?

Our standard questionnaire covers: relationship to candidate, duration of working together, job title and responsibilities confirmed, performance rating, strengths and areas for development, rehire eligibility, and any known conduct or performance concerns. All questions are structured for compliance — no leading questions, no requests for protected information.


Can we customise the reference check questionnaire?

Yes. You can build custom question sets per role, seniority level, or function. For example, a financial services firm might add a question about regulatory conduct history. Questions can be free-text, multiple choice, or rating scale. Saved templates are reusable across all future hires in that category.


What if a referee doesn’t respond?

Veremark sends automated reminders at set intervals. If a referee remains unresponsive, we alert you. You can request the candidate provides an alternative referee, or proceed with available responses. We document all outreach attempts for your records — useful if a hiring decision is ever queried.


Do you run reference checks for international candidates?

Yes. Referees can be anywhere in the world. The questionnaire is available in multiple languages. Response rates for international referees are comparable to domestic — most professionals respond to a structured digital form faster than a phone call request.


Who contacts the referee — Veremark or our team?

Veremark contacts all referees directly. You submit the candidate’s details and reference contacts, and we take it from there. Your team is notified when each response arrives and when the full report is ready.

How is reference check data stored and protected?

All data is stored on AWS with encryption at rest and in transit. ISO 27001 and SOC 2 certified. GDPR and PDPA compliant. Configurable data retention periods. Data Processing Agreement available for your legal and compliance team.
